Instructions for Submitting Extended Abstracts

Following are instructions for submitting extended abstracts that will be published
in the Proceedings of the ARM Science Team Meeting. Extended abstracts are due
before or at the meeting. Late abstracts will be accepted until June
15, 2004. The only publishing mechanism for this year's proceedings
will be electronic; therefore, color may be used. Although there will be no
printed version, please provide BOTH a printed copy and an electronic submission
of text, graphics and equations. Also, include names, affiliations and locations
of all authors. Identify point-of-contact, along with email address and phone
number, for questions.

Text

Text should be prepared in Microsoft Word.

Include names, affiliations and locations of all authors. Identify point-of-contact,
along with email address and phone number, for questions.

Define ALL acronyms and abbreviations the first time they are used.

Make sure all references called out in text appear on your reference list and
that all references on your reference list are called out in text. Also, make
sure all references on your reference list have complete citations and are publicly
available.

Make sure all figures and tables are called out in text and have captions.
Also, make sure that all figures and tables called out in text are included
with your paper.

Graphics

Graphics should be sent as individual graphic files in their original software
and NOT placed within the abstract.

Create/size graphics to fit the image area. Make sure that any text in the
graphics is not sized smaller than the base font text size (standard = Times
New Roman 12 pt).

Graphics can be up to 7 inches wide.

Save and send graphics in the original software. Make sure that files have
been named properly and that the originating graphic software names the file
with the extension.

Please supply a high-quality printed copy of all graphics, so that if needed
they can be scanned and imported into the text.

Equations

Avoid using the equation editor for those equations not requiring it.

Please supply a printed copy of all equations.

Submitting

Electronic submissions may be either provided on disk, via email or ftp. Information
required for all electronic submissions (disk, email, or ftp) include the following:

  • Name of file(s)
  • Hardware used (e.g., Dell, Mac)
  • Compression software used, if any (e.g., Stuffit, Winzip)
  • Word processing software used (e.g., Word, WordPerfect)
  • Graphics software (e.g., Corel Draw, Photoshop)
  • Graphics format (e.g., tiff, png)
  • Operating System (e.g., Windows XP, Mac)

For ftp or email submissions, send this information in an ASCII (text) file. Send email submission to Denice Carrothers at denice.carrothers@pnl.gov. For ftp, use the following instructions:

  • Host: ftp.arm.gov
  • User ID: anonymous
  • Password: your email address
  • Directory: /pub/www/incoming/your name: (you'll need to create this yourself)

After the ftp file is place on the server, please notify Denice Carrothers.
